How Our Customer Efficiently Transfers SAP Data to Microsoft Fabric with Xtract Universal
How can SAP data be efficiently transferred to Microsoft Fabric and leveraged for modern analytics workflows? A manufacturer of natural healthcare products faced exactly this challenge. By choosing Xtract Universal, the company implemented a flexible and future-proof solution to automate SAP data provisioning, accelerate reporting processes, and create a solid foundation for data-driven decision-making.
Customer & Challenge
The company is a well-established traditional brand with more than 100 years of history in the health and wellness sector. It stands for effective, innovative, and natural products based on a holistic approach to healthcare. Expertise in naturopathy and pharmaceutical practices, state-of-the-art production processes, and rigorous scientific quality controls ensure the company’s proven product quality.
Headquartered in Southern Germany, the company operates across Europe and Asia and employs around 650 people, approximately 550 of whom are based in Germany. As a wholly owned subsidiary of a larger corporate group, the company operates in a market environment shaped by rising costs, regulatory requirements, and increasing expectations regarding sustainability. This makes it even more important to provide business departments with fast and reliable access to relevant information, such as national and international sales KPIs, in order to better analyze cross-market developments and improve reporting quality.
As part of the ongoing development of its data landscape, the company aimed to connect SAP to Microsoft Fabric as a central data hub that would also serve as a data source for Microsoft Power BI as the analytics platform. The company was looking for a solution capable of reliably extracting SAP data and transferring it directly into this environment. At this point, it became clear that standard approaches within the SAP or Microsoft ecosystem did not sufficiently meet the requirements. In addition, changing SAP framework conditions, such as the discontinuation of certain ODP Replication APIs, further complicated the situation.
The company needed an efficient and compliant SAP extraction solution that could integrate directly with Microsoft Fabric as a target system. At the same time, the solution was expected to provide greater flexibility, reduce operational effort, and offer additional options through support for a wider range of target systems and more advanced extraction processes.
Solution with Xtract Universal
Since Xtract IS had already been successfully used within the company, the decision was made to once again rely on a solution from Theobald Software. After reviewing the capabilities of Xtract Universal, it quickly became clear that the solution was an excellent functional and technical fit for the requirements. A key factor for the company was the flexibility of Xtract Universal, its support for numerous target systems, and its ability to automate SAP data extraction. From the company’s perspective, a proof-of-concept phase was not necessary.
From initial setup to go-live, the implementation took approximately eight weeks. Most of the effort was not related to Xtract Universal itself, but rather to the approvals and coordination processes required within the corporate environment. Several teams needed to collaborate during setup, including SAP, server, and network teams. Installing the full version was completed quickly, while SAP transports and the assignment of the necessary authorizations required more time.
From a technical perspective, the implementation also proceeded smoothly without major obstacles. The clear documentation and responsive support provided by Theobald Software played an important role in this success.
Requirement
Integration of SAP data into Microsoft Fabric as a foundation for reporting and analytics
Solution
Xtract Universal
Added Value
Reliable SAP data extraction, high flexibility regarding target systems, fast delivery of KPIs to business departments, low operational effort
With Xtract Universal, the company gains greater flexibility in SAP data extraction. The solution operates independently of SSIS and supports not only Microsoft Fabric but also additional target systems if required. This ensures that the company remains flexible as its data landscape continues to evolve.
Another advantage is the broad technical scope of the solution. From the company’s perspective, a particular strength is the efficient extraction of SAP tables, CDS views, reports, and delta data. Fast no-code configuration as well as automated and parallel extractions also help minimize operational effort.
This is especially important because the company can now provide required SAP data multiple times per day via CDC without placing significant load on the source system. In addition, the data can be transferred directly into Microsoft Fabric and further processed there for modern analytics workflows.
The company is currently evaluating whether additional use cases can be implemented using Microsoft Fabric’s Open Mirroring functionality in combination with Xtract Universal.
The new SaaS solution for SAP data and process integration announced by Theobald Software is also of interest to the company, as it could fit well into the existing system landscape.
Outlook
UiPath plans to extend its use of Xtract Core with incremental extraction and scheduling capabilities to further enhance automation.
“We see Theobald Software not just as a technology provider, but as a strategic partner on our journey toward the next generation of process automation. We would recommend Theobald Software anytime – not only for the technology but also for the collaborative partnership,” says Miller.
Conclusion: A Strong Partner for Strong Results
With Xtract Core, SAP integration has gone from a constraint to a competitive advantage for UiPath. The partnership with Theobald Software has simplified, accelerated, and strengthened UiPath’s SAP connectivity — building the foundation for advanced, data-driven process optimization.
